Who can use this feature?
System & User administrators only
It is no longer possible to create new Pending(Draft) invites as the feature has been removed from Qwil.
Pending(Draft) invitations are Qwil invites that have been created, but not yet sent. It is no longer possible to create new Pending(Draft) invites as the feature has been removed from Qwil. However it is possible that you may still have existing Pending(Draft) users in your organisation, which we ask you to review.
There are two options going forward:
- Resend Invitation: If you are ready to send the invitation to the user, you can resend their invitation.
- Revoke Invitation: If you are not ready to send the invitation to the user, you can revoke their invitation(this can't be restored in the future unless you also change the invitation email address, for eg change the email to deactivated1@email.com so you can reuse the user's email in future).
Note: Revoking an invitation cannot be undone
To resend an invitation:
- From your desktop, click on the admin menu
- Click on Clients or Staff.
- Find the user you wish to resend the invitation to.
- On the user page, you will see a button to Resend invitation on the top right corner

Click on it. A new invitation will be sent.
Note: you can also resend an invitation directly from the user list by clicking on the three-button menu and selecting Resend Invitation.
Note: Changing a pending user's email address will trigger a new invitation. See Edit a user for more details.
To revoke an invitation:
Note: If you need to resend an invitation, or make any changes to the invite, DO NOT revoke the invite. Simply follow this guide on how to edit the details of the invite and resend.
Note: If the user is not ready to accept or wants to stop receiving reminder emails, they should simply click decline on the email invite. The invite can then be resent by a staff user at a later date
- From your desktop, click on the admin menu
- Click on Clients or Staff.
- Find the user you wish to resend the invitation to.
- On the user page, you will see a button More Actions in the top right corner, which will drop down and give you an option to Revoke Invitation.

Click this button and confirm. The user's status will change to Revoked Invitation
Note: you can also revoke an invitation directly from the user list by clicking on the three-button menu and selecting Revoke Invitation.
