Who can use this feature?
Staff only
Firms and practices do not work in silos. Qwil enables staff to invite other staff users from other organizations within the same network (St James's place for example) to the same chat. All within the security of Qwil.
No need to switch channels, use email or WhatsApp...just search the directory.
These are only staff chats (internal and external). Clients cannot be invited to the chats.
What may be the use cases?
- Do you have more than one practice on Qwil? for example regional hubs. You can now easily start chats between staff across the hubs.
- Do you work with several firms/practices as a staff member? You can now simply be added to staff only chats without needing to be invited to all practices.
- Do you share best practices and information with colleagues from other organisations? Maybe you have a social chat group set up? You can now create a chat thread and have everything and everyone in one place.
- Have you just started your practice and want to stay in touch with other academy members to share best practices? Just search them up.
- Do you need help? Find the right person within your organisation to support you. Chat, share documents securely and in full compliance.
What to expect?
- You can now also start a chat thread with staff from outside your organisation (External staff) but within your network (i.e. St James's Place) from the desktop app, browser and mobile. This chat thread will be synchronised across all your devices.
- External chats are staff only. Client users cannot be invited so there is no risk.
- You can also search in the directory for any external staff member. Simply type in the name of the organization and the related external staff will appear. Purple colour indicates external staff.
- If an organization or a staff user cannot be found, simply recommend they get Qwil or be invited by their practice.
- A chat will only become active and appear in other participants' chat lists after you have sent a message. For external chats, a tab in the left menu will appear.
- You can invite other internal or external colleagues to the chat thread using the right menu as per any other chat thread in Qwil.
- A chat can have a maximum of 100 active participants.
- Data reviewer can be used as normal which includes external staff users. The other organization will also be able to view that chat thread.
To start (create) a new external chat:
On web:
- Click on create chat icon
- Search for an organization (for example Compass) and select one or more participants from that organisation or from yours. The purple colour indicates the user is external to your organization.
As a reminder, here are the symbols that are used in Qwil
S Staff user (Blue turquoise)
C Client user (yellow)
E External Staff user (purple)
- Name the chat
- Click Create and type your first message
- Invite other users (internal and external) to the chat thread as required
Note: External chats are staff only. Client users cannot be invited.
All conversations with staff users from other St. James’s Place organizations will appear in the left menu bar under "External chats" but chat threads can also be flagged.
All staff users are clearly indicated as external staff under their profile with the organization within your network which they are from.
Remember that is is only within your own network - for example St James's Place.
