Who can use this feature?
Staff users with permission
Every chat and action taken on Qwil Messenger is recorded in your organisation's secure cloud and is searchable from a centralised function allowing you to comply with regulatory requirements. This is in addition to staff searching the conversations and downloading the transcript which they are part of.
A system administrator may grant specific staff users access to locate conversations that have taken place in your organisation and review/export the transcript via the web app. This is usually the data controller or compliance personnel. Please refer to Enabling chat audit functionality.
Note: Qwil Messenger does not have access to any chat data. At all times, chat data is controlled and managed by your organisation in line with stringent security and regulatory requirements.
What to expect
- Only an admin can grant Data Reviewer permissions.
- If you have Data Reviewer permissions you will see this icon on your left-hand side menu.
- There are different access levels for Data Reviewer:
- Level 1. All clients in contact list conversations - users with this permission can find any conversation where a client who is in their contact list is a participant.
- Level 2. All client conversations - users with this permission can find any conversation where a client is a participant.
- Level 3. All conversations - users with this permission can find any conversation that has taken place in your organisation.
- From your results, you can export a chat transcript and attachments.
- You can view chat details such as title, creation date, last message sent, sent documents and active & former participants.
- According to your search criteria, you may find individual chats or messages.
- Level 1 and Level 2 are subject to limitations to the number of messages downloaded.
How to use data reviewer:
Tip: Data reviewer functionality can also be accessed via deeplinks so you can integrate with your other systems. See Deeplinking integration
Level 1 & 2. All clients in the organisation or all clients in my contact list conversations
- Once you have been granted data reviewer permissions you will see a new menu item on the left-hand sidebar.
- For levels 1 and 2 you must select at least one participant or provide a chat UUID (see Deeplinking integration to use chat UUID) to perform a search. You can additionally search for keywords or filter your results by date, senders, or search for attachments only.
- When you see the results you can click on a result to display a side menu showing the chat details. From here you will be able to see the created date, chat title, participants, and shared documents. Use the tabs to navigate these details.
- You can click on the PDF button to download a copy of the entire chat transcript to your computer and click on the download button to save a copy of all attachments sent to the chat.
- Additionally, you can click on the chat title (or on the Chat Details - See all messages) to display all messages sent in the chat. Please note, when clicking to see all messages you will lose your current search.
Level 3. All conversations
- Once you have been granted data reviewer permissions you will see a new menu item on the left-hand sidebar.
- You can perform a search using any of the criteria. You can search by keyword and filter your results by date, senders, chat participants, or search for attachments only.
- With level 3, a filter can also be used on its own. For example, you could ask to see all conversations that have taken place between March and April 2020, or you can search for all conversations that include certain participants.
- When you see the results you can click on a result to display a side menu showing the chat details, from here you will be able to see the created date, chat title, participants, and shared documents.
- You can click on the PDF button to download a copy of the entire chat transcript to your computer and click on the download button to save a copy of all attachments sent to the chat.
