Who can use this feature?
System & User administrators only
Unfortunately, you are not able to change a user's role from staff to client or vice versa. However, depending on the invitation state there are different paths you can take.
If the user is pending:
If the user is pending (i.e. has not yet accepted their invitation) you will have to revoke their invitation and create a new invitation with the appropriate role.
- From your desktop, click on the admin menu.
- Click on Clients or Staff.
- Find the user you wish to edit.
- On the user page, you will see the More Actions button on the top right. Click on it.
- Select Revoke invitation.
- You can now create a new invitation with the correct role.
If the user is active:
If the user is active and you wish to change their role you will have to deactivate them and create a new invitation with the appropriate role.
Note: If you deactivate a user and create a new invitation with a different role they will not be able to access any chats or information they had access to before. You will effectively be creating a new user.
- From your desktop, click on the admin menu.
- Click on Clients or Staff.
- Find the user you wish to edit.
- On the user page, you will see the More Actions button on the top right. Click on it.
- Select Deactivate user.
- A confirmation modal will open. Click Deactivate.
- You can now create a new invitation with the correct role.
Note: You must advise the user that they should click on 'I already have an account' when accepting their invitation so that their new invitation is linked to their existing Qwil account. When you deactivate a user, you are only deactivating a user's membership to your organisation, not their Qwil Messenger account. This means that they still have an active Qwil account. You may want to direct them to this article the section that reads How to accept an invitation as an existing Qwil user.
