Day-to-day communications
Qwil Messenger can be leveraged for both general and sensitive communication as it is automatically a verified and trusted source of communication information.
However, unlike emails and faxes, additional “out-of-band” verification communication should only be required under certain (higher risk) circumstances.
Qwil can be used with prospects, clients and partners as the procedures in place to support account creation will be sufficient to ensure you can trust the person you are communicating with is who they say they are. We also have explicit consent from these users to the terms and conditions that cover us (Qwil and our firm) for usage of the data.
Like any work channel, staff should be professional in their communications internally and with external clients and adhere to relevant company policies & procedures, in particular ensuring that communications are 'fair, clear and not misleading'.
Qwil Messenger is our preferred channel for communicating and users should be actively invited because of the security and convenience benefits.
Attachments (files and images)
Qwil Messenger can be used to share any relevant documentation with prospects, clients and partners without additional password protection or encryption.
This is because the service is securely setup to prevent certain document types being sent (including those with viruses and malware), including those with password protection or encryption. The channel itself provides sufficient security controls, and enables full access to the content by our compliance staff without the need to log passwords separately.
Identification documents (e.g. passport, driving licence, proof of address required for individual due diligence), in addition to other required account opening documentation, CAN be sent or received via the service.
Documents sent by staff are trusted because they can only originate from the trusted corporate network via the web app. Photos from staff can also originate from an authorised device camera being used by an authenticated staff user (and without the risk of accidental data leakage).
Images sent from clients (or via staff for clients) can be accepted as originating from verified sources.
