Via the Qwil messenger Salesforce connector you are now able to manage your client's contact groups from within Salesforce. This allows for the ability to control the address books of clients and staff, as well as manage group names, descriptions and identifiers without having to navigate between Qwil and Salesforce. A quick demonstration video of the actions on Salesforce is below.
Note: You are only permitted to manage contact groups for the client record you are viewing, however all staff within contact groups can be managed.
Add staff to a contact Group
From within a client's contact group you are able to add any active staff member, allowing for convenient management of staff user's client access. This can be done by following the below steps:
- Locate the desired client contact, who's groups you wish to manage, and navigate to the Qwil Messenger tab.
- Click on the Contact Groups tab in the left hand menu.
- Locate the contact group you wish to manage either with the search function or in the list of groups shown.
- Click on the contact group Name.
- Click on the Add Staff Members button.
- Search and select staff members to add to the group, and click Add.
- The staff member will be added and appear in the list of Contact Group Members.
Remove a member of staff
Staff user's can also have their access to certain groups removed via Salesforce directly. Providing the capability for easy management of staff's client access and providing easier control over a client's address book. This must be done from within a client's contact groups by following the below steps:
- Locate the desired client contact, who's groups you wish to manage, and navigate to the Qwil Messenger tab.
- Click on the Contact Groups tab in the left hand menu.
- Locate the contact group you wish to manage either with the search function or in the list of groups shown.
- Click on the contact group Name.
- Locate the staff member you wish to remove from the contact group in the Contact Group Members list and click on the corresponding trash icon.
- A confirmation screen will display, click Remove and the staff user will be removed from the group and no longer appear in the group members list.
A staff user can only be removed from a group containing clients if they are not the only staff user in the group. Every contact group containing clients must have at least 1 staff user.
Remove a Client from a Contact Group
A client's contact groups can be managed via Salesforce, to remove a client's access to a contact group, thus altering their address book and which Qwil users they will have the capability to chat with. To remove a client from a contact group using Salesforce you must be on the desired client's Salesforce record and this can be done by following the below steps:
- Locate the desired client contact, who's groups you wish to manage, and navigate to the Qwil Messenger tab.
- Click on the Contact Groups tab in the left hand menu.
- Locate the contact group you wish to manage either with the search function or in the list of groups shown.
- Click on the group dropdown button from which you will see the option to Edit or Remove.
- Click Remove.
- A confirmation screen will appear, to confirm removing the client click Remove.
A client must always belong to at least one contact group, it is not possible to remove a client from their only contact group.
Add a Client to a Contact Group
A client can be added to existing groups via Salesforce. This will then grant the client access to the members of other groups, adding these contacts into their address book. This can be done from the client's Salesforce record by following the below steps:
- Locate the desired client contact, who's groups you wish to manage, and navigate to the Qwil Messenger tab.
- Click on the Contact Groups tab in the left hand menu.
- Click on the Add to Contact Groups button.
- Search for/select the groups which you want to add the client into.
- Click Add. The client will be added, and the group will appear in the list of group memberships.
Note: If you do not have the Organisation or User admin permission, you will only be able to add the client to contact groups in which you are a participant in.
Delete a Contact Group
Contact groups can be deleted once they are empty of active members. This is now possible to do via Salesforce. To do this you must access the contact group through a client Salesforce record, and this user must be the only client within the group. If the group has multiple client members, they must be individually removed by following the steps above. Once the group has only one active client, it can be deleted by following the below steps:
- Locate the desired client contact, who's groups you wish to manage, and navigate to the Qwil Messenger tab.
- Click on the Contact Groups tab in the left hand menu.
- Click on the contact group Name.
- Locate the client in the contact group members list, and click on the trash icon and confirm Remove them from the group.
- In the same way, remove all staff users from the group, until there are no active users displayed within the group.
- Click on Delete.
- The screen will display a confirm delete group message, click Delete, and the group will be deleted.
Edit Contact Group Details
A contact group's details consists of three things, the group name, group identifier and the description. These three values can now be edited via Salesforce from within a client's record by following the below steps:
- Locate the desired client contact, who's groups you wish to manage, and navigate to the Qwil Messenger tab.
- Click on the Contact Groups tab in the left hand menu.
- Locate the contact group you wish to manage either with the search function or in the list of groups shown.
- Click on the group dropdown button from which you will see the option to Edit or Remove.
- Click Edit.
- From here you will have the ability to edit the group details, when finished click Save.
Group Identifiers cannot contain some special characters, spaces and semicolons are not permitted within the format. A group Identifier must also be unique, and cannot match any existing value in another group.
